DEPOSIT & CANCELLATION POLICY

Date of Policy: 12/07

PURPOSE: To establish appropriate Deposit charges for use of various facilities.  To establish Cancellation charges when reservations are made and then cancelled, which result in loss of revenue for the Camp.

DEPOSITS: Reservations are on a “first come-first serve” basis.  Deposits are required to hold reservations.  Deposits are based on a cost of one night’s lodging equal to the minimum number of adults for the facility reserved (see Lodging section on Rate Sheet).  Deposits will be applied to total bill.

Stone House (minimum charge 12 adults) $216.00
Cabins (minimum charge 12 adults) 216.00
Michaux Lodge (minimum charge 16 adults) 352.00
Dining Hall (meals) 100.00
Other Facilities (lodges, dining hall, grounds,Trailer pads, A Frames, etc.) 75.00

CANCELLATION CHARGES:

  1. Cancellations made more than 30 days prior to the start of the scheduled event will be refunded the Deposit only in cases of emergencies. (Determination at the discretion of Director.)
  2. Non-emergency cancellations made more than 6 weeks prior to the start of the scheduled event may apply ½ of the Deposit amount to another event if it is scheduled within 12 months.
  3. Cancellations made 30 days or less prior to the start of the scheduled event will be charged the full Deposit.
  4. Cancellations of Dining Hall reservations made less than 48 hours prior to the start of the scheduled event will be charged the full Deposit of $100.00, plus an additional fee of $100.00 to cover the cost of food purchased for event.

PAYMENTS:

Unless advance arrangements are made, full payment of total charges must be made before your departure from Hartman Center.

This deposit/cancellation policy is not designed to deter groups from making reservations for the use of Hartman Center, but rather to enable us to be good stewards in regards to utilizing the Camp to it’s fullest potential. Many times groups are turned away because reservations have already been established for dates you are booked and if a cancellation occurs, it results in lost revenues to Hartman Center.
